The processing of personal data always takes place in accordance with and following the General Data Protection Regulation (AVG). Through this privacy statement, our company wishes to inform you about the manner, scope and purpose of personal data processed by us and to clarify your rights in this regard.

The Privacy Statement of Ecosoft 22 BV is based on the General Data Protection Regulation, as stipulated in Regulation 2016/679 of the European Parliament on April 29, 2016.

‘Responsible party’ or ‘processing controller’ is the natural or legal person, authority, agency or other body which alone or jointly with others determines the purposes and means of processing personal data. If the purposes and means of such processing are determined by Union or Member State law, it may determine who the controller is or according to what criteria it is designated.
‘Third party’ means a natural or legal person, public authority, agency or any other body, other than the data subject, nor the controller, nor the processor, nor the persons authorized under the direct authority of the controller or processor to process personal data.

4. Processing personal data
4.1. Visiting our website
4.1.1. Description and scope of data processing
When you visit our website, your browser transfers the following data to our server for technical reasons (so-called server log files):
- IP address
- Date and time of your request
- Time zone deviation from Greenwich Mean Time (GMT)
- Content of the request (concrete web page)
- Operating system and its access status / HTTP status code
- Amount of data transferred
- Website from which the request originates (referrer URL)

4.1.2. Purpose of data processing
The storage of these data in log files is necessary to make the website available.
4.1.3. Legal basis of processing
We collect this data on the basis of our legitimate interest within the meaning of Article 6, paragraph 1 sub. f) of the AVG, in order to display our website and to ensure its security.
4.1.4. Duration of storage
Information in log files is stored for seven days for security reasons (e.g., to clarify abuse or fraud) and then deleted. Data that needs to be stored for longer for evidentiary purposes will not be deleted until the final clarification of the incident in question.
4.1.5. Possibilities of objection and deletion
The recording of data to display the website and the storage of this data in log files is absolutely necessary for the company for technical reasons. Therefore, there is no possibility for the user to object to this.
4.2 Online shop
4.2.1. Scope of data processing
You can place an order in our online shop without prior registration or create a user account, in order to save time when making a subsequent purchase in the online shop, as you will then not have to enter your customer data again. In both cases we process the following data: salutation, title, first name, last name, street, additional address data, zip code, city, country, telephone, e-mail address, different delivery address.
4.2.2. Purpose of data processing
The data are processed to execute the order and to fulfill contractual obligations.
4.2.3. Legal basis of processing
We process this data in order to execute a contract. The legal basis for this is Art. 6, paragraph 1 sub. b) of the AVG.
4.2.4. Recipient of the personal data
Personal data are processed by Ecosoft 22 BV, Leuvensesteenweg 633, 1930, Zaventem, Belgium.
4.2.5. Duration of storage
Data stored with us are deleted as soon as they are no longer required for their purpose, and there is no legal retention obligation that prevents their deletion. Retention obligations arise from commercial and tax law grounds. According to legal requirements, retention periods of 7 years (for e.g. invoices) and 10 years (for e.g. electronic services) apply. The State Tax Act applies. Other government agencies also (may) require additional measures.
4.2.6. Possibilities to object and delete
If you have created a user account, you can delete it at any time. The data processed in connection with an order is subject to retention obligations under commercial and tax law. Therefore, there is no possibility for the user to object to this.
4.3 Newsletter
4.3.1. Scope of data processing
You have the option during registration as a user of our website to subscribe to a free newsletter, which provides you with regular information about products and services from and events at BWT.
To subscribe to the newsletter, we collect salutation, first name, last name and e-mail address so that we can contact you personally.
Signing up for our newsletter is done through a so-called Double-Opt-In procedure. After subscription, you will receive an e-mail in which we ask you to confirm your subscription. We need this confirmation to prevent someone from signing up with an external e-mail address. Newsletter sign-ups are recorded in order to prove that the sign-up procedure is carried out according to legal requirements. This includes the IP address of the requesting computer and date and time of registration.
For the processing of the data, your consent is requested as part of the registration procedure and referred to this privacy statement.
With regard to the data processing for sending newsletters, no transfer of data to third parties takes place. The data is used exclusively for sending the newsletter.
4.3.2. Purpose of data processing
We ask the user's e-mail address to send the newsletter. We ask for the name in order to use a personal salutation.
4.3.3. Legal basis of processing
Legal basis for the processing of data after registration for a newsletter by the user is his/her consent in accordance with Art. 6 (1) (a) of the AVG.
4.3.4. Duration of storage
Data are deleted as soon as they are no longer required for the purpose for which they were collected. The user's e-mail address is therefore stored for as long as the newsletter subscription is active.
4.3.5. Possibilities of objection and deletion
You can cancel the subscription to our newsletter at any time, or withdraw your consents. For this purpose, each newsletter contains a link that allows you to cancel the newsletter subscription.
4.4 Product Registration
4.4.1. Scope of data processing
You have the option of registering your BWT product on our website and using our free reminder service for maintenance and service steps. If you want to use this service, you will receive a reminder by e-mail at a certain time. When registering your product, we process the following personal data from you: salutation, first name, last name, street, zip code, city, telephone, e-mail address and possibly the contact data of your installer.
4.4.2. Purpose of data processing
The purpose of data processing is to send information about product- and service services and in particular reminders of maintenance- and service operations.
4.4.3. Legal basis of processing
We process this data to carry out pre-contractual measures. The legal basis for this is Art. 6, paragraph 1 sub. b) of the AVG.
4.4.4. Duration of storage
We process the data from your product registration until you want to delete it.
4.4.5. Possibilities to object and delete
You can delete the data from your product registration at any time. For this, click on the link provided in your confirmation email. You can also send us an email to belgium@ecosoft.com.
4.5 Contact Form and Email Contact
4.5.1. Scope of data processing
On our website, you will find a contact form that allows you to send us questions or comments electronically. If you use this option, the data entered in the input template will be transmitted to us and stored. This includes the following data: first name, last name, email address, street, zip code, city, telephone number, country, message. You can also contact us via the email addresses mentioned. In this case, the personal data of the user sent by email will be stored. In this context, no transfer of data to third parties takes place. The data is used exclusively for processing the conversation and to handle the request.
4.5.2. Purpose of data processing
We use the processing of personal data from the input template solely for the purpose of processing your message. If we are contacted via email, the required legitimate interest to process the data also applies here. The processing of other personal data during transmission, such as IP address, is for the purpose of preventing misuse of the contact form and ensuring the security of our information technology systems.
4.5.3. Legal basis of processing
When you contact us (via the contact form or via email), the user's data is processed to handle the request and its processing in accordance with Art. 6 (1) (b) of the AVG.
4.5.4. Duration of storage
Data are deleted as soon as they are no longer needed for the purpose for which they were collected. For the personal data derived from the contact form input template and the data transmitted via email, this is the case when the corresponding conversation with the user is completed. The conversation is completed if it can be deduced from the circumstances that the subject in question has been dealt with effectively.
4.6. Job Applications (Career)
4.6.1. Scope of data processing
If you are interested in working with Ecosoft 22 BV, you can apply to us online. Under the menu item 'career' you will find open vacancies. If you apply via the application form, we collect the following personal data: salutation, title, first name, last name, email address, telephone number, number of the vacancy/open application plus the documents you attach: cover letter, CV, diplomas.
4.6.2. Purpose of data processing
We process personal data for the purpose of justifying a decision on an employment contract, in particular for the selection of suitable candidates and the administrative execution of the application process.
4.6.3. Legal basis of processing
When you apply for a job, the user's data are processed to handle the application and its processing in accordance with Art. 6 (1) (a) and (b) of the AVG.
4.6.4. Recipient of personal data
Your personal data can be accessed by the human resources department and the subject department responsible for the vacancy.
4.6.5. Duration of storage
If the application leads to employment, we process this data in order to implement employment. This data is then entered into our personnel administration system. If the application does not lead to employment, this data will be deleted 4 weeks after the completion of the application procedure, subject to the objection period of the Dutch Equal Treatment Act, unless the applicant has given his/her consent in accordance with Art. 6 (1) (a) of the AVG and Art. 7 of the AVG to store his/her personal data for a longer period of time in order to be able to be requested again in case of a new vacancy, if necessary.
4.6.6. Possibilities to object and delete
You may at any time on request review the information you have sent to us or have it deleted. For that purpose, please send us an email to belgium@ecosoft.com. This does not apply insofar as you have applied for a specific job opening with us in an ongoing application process. In this case, we will retain the information provided by you for this vacancy until the statutory objection period has expired.
5. Your Rights
If we process personal data about you, you are a data subject under the General Data Protection Regulation (GDPR) and have the following rights in relation to us regarding personal data that relates to you:

- Right of data erasure (art. 17 AVG)
- Right to restriction of processing (art. 18 AVG)
- Right to transferability of data (art. 20 AVG)

6. Modifications to the privacy statement
We reserve the right to modify the privacy statement in order to adapt it to changed legal regulations, or in the event of changes to services or data processing. However, this applies exclusively to data processing statements. As far as consents of the users are required or parts of the privacy statement contain regulations of agreements with the users, these changes will only take place with the consent of the users.
